Once a session ends, signaling nodes immediately flush memory frames within 5 seconds.
1. Data Controller & Scope
This Privacy Policy applies to the services, applications, and client interfaces provided by Foxcolab Technologies (referred to as "we", "us", "our", or "Company"). Under the General Data Protection Regulation (GDPR) and similar global data protection laws, Foxcolab Technologies operates as the Data Controller for account information, billing records, and metadata. For the meeting content data (including video, audio, and screensharing feeds) processed within our infrastructure, Foxcolab Technologies operates as a Data Processor.
2. Categories of Information We Process
A. Account Information
To access our platforms, administrators and workspace owners must provide an email address, password hashes, and company name. We also collect billing contacts, organization sizes, and tax registration numbers (GST/VAT) for compliance with tax authorities.
B. Meeting Metadata
We collect operational telemetry to ensure audio/video routing efficiency. This includes randomized Room IDs, participant connections/disconnections, packet loss parameters, network round-trip times (RTT), hardware capability profiles, and browser signatures. No IP addresses are stored permanently; they are logged temporarily in local RAM namespaces to complete secure real-time connection handshakes.
C. Media Payload & Recordings
Under default configurations, media streams (video, audio, and screen frames) are processed entirely in-transit. Media streams are routed via our secure media routing nodes, which only redirect packets without decrypting them (Zero-Knowledge). If you explicitly enable "Cloud Recording" or "AI Transcriptions," media feeds are transcoded and stored on your choice of encrypted storage locations. Keys to decrypt these files are accessible only to authenticated workspace members.
3. Legal Basis for Processing (GDPR)
Under Article 6 of the GDPR, Foxcolab Technologies processes data based on the following grounds:
- Contractual Performance: Necessary to deliver features, billing, and support as outlined in our Terms of Service.
- Consent: When you register an account or explicitly opt-in to optional beta features.
- Legitimate Interests: To monitor system performance, block network-level abuse, and prevent security violations.
- Legal Obligation: To maintain accurate tax logs, invoice archives, and comply with binding court orders.
4. Third-Party Sub-processors
Foxcolab Technologies maintains partnerships with select sub-processors to run services. We require SOC 2 compliance and sign strict Data Processing Addendums (DPAs) with every partner:

5. Data Retention & Erasure
Transient media data processed in memory is purged immediately upon completion of the transmission. Account and subscription data is stored as long as your workspace remains active. When you trigger "Workspace Deletion" from your administrator panel, Foxcolab Technologies permanently erases all associated user records, logs, metadata, and payment links within 14 days, except where financial retention laws require holding invoice records (up to 7 years depending on jurisdiction).
6. User Rights (GDPR & CCPA)
Regardless of your country of residence, Foxcolab Technologies guarantees you the right to:
- Access all personal data processed under your workspace profile.
- Request structured data portability exports in standard JSON formats.
- Rectify inaccuracies in your organization info.
- Object to or restrict the processing of analytics logs.
- Obtain immediate erasure of metadata or recording files.
